How a three-doctor family clinic in Noida moved from paper to Nabhaya

The clinic

This family clinic in Noida has three doctors: two general physicians and a paediatrician who consults every morning. Mornings are the busy part of the day, with booked follow-ups, walk-ins with fever and cough, and parents with young children, all arriving within the same two hours. The clinic runs a small in-house pharmacy next to the reception desk.

Before Nabhaya, the team of three doctors, two receptionists and one pharmacist worked across four separate tools.

  • A paper register at the front desk for bookings, walk-ins and token numbers.
  • A billing app on one computer, which only one receptionist knew how to use well.
  • WhatsApp on a receptionist's personal phone for confirmations and reminders, typed by hand when there was time.
  • A stock notebook in the pharmacy, updated at the end of the day if someone remembered.

The challenge

None of these tools talked to each other, so the same patient was written down three or four times a day. The owner, one of the general physicians, described the problems like this:

  • Parents called the desk again and again to ask when their turn would come, so the phone rang through the whole morning.
  • Reminders went out only on quiet days, and follow-up patients often forgot to come back.
  • Part-payments for procedures such as nebulisation and dressings lived in the billing app, but the prescriptions lived on paper, so balances were easy to miss.
  • The pharmacist found out a medicine had run out when a patient asked for it.
  • At closing time, someone had to count the register and the billing app to work out the day's visits and collections.

Why they chose Nabhaya

The clinic looked at a basic appointment app and at a larger hospital system before choosing Nabhaya Clinic. Four things decided it:

How they set it up

  1. Day 1 · Setup call. With the Nabhaya team, the clinic added its three doctors and their slots, two departments, its services and prices, the prescription and bill templates with the clinic letterhead, and its own booking link.
  2. Days 2 and 3 · Pharmacy and stock. The medicine catalogue was imported from a CSV file, vendors were added, and opening stock was entered through goods receipt (GRN), so stock levels were right from the first day.
  3. Week 1 · Running side by side. Reception used Nabhaya for every booking and walk-in while keeping the paper register as a backup. Each person got their own login and a short walkthrough of their screen.
  4. Week 2 · Register retired. Once the team trusted the queue and the bills, the paper register was put away. The booking link went on the clinic's Google Business Profile and WhatsApp status.

What changed

At the front desk, bookings, walk-ins and the queue for all three doctors now sit in one list. Confirmations and reminders go out on their own, and parents can see the message instead of calling to ask. Bills, with part-payments and balances, are ready as each consult ends.

For the doctors, vitals are recorded before the patient walks in, and past visits, prescriptions and reports are on the same screen. Prescriptions are typed from templates, saved to the record and sent to the patient on WhatsApp.

In the pharmacy, the pharmacist dispenses straight from the doctor's prescription, so there is no guessing at handwriting. Low-stock alerts show what to reorder, and purchase orders and GRNs sit in the same system as the bills.

For the owner, the day closes in a few minutes. Visits and collections by doctor are in one report, and every patient seen that day gets one end-of-day message inviting honest feedback on Google.

What's next

The clinic plans to add a visiting specialist on weekends as a separate department, and to use the service execution tracker for its nebulisation and dressing packages. Both are already part of the Practice plan.
