Most of your patients open WhatsApp many times a day. They rarely open SMS and often ignore unknown calls. For clinics, that makes WhatsApp the most reliable way to confirm appointments, reduce no-shows and bring patients back for follow-ups.

There are two ways to send WhatsApp messages as a business.
Clinic software usually handles the platform side for you, so you only choose which messages go out and when.
Sent as soon as the appointment is booked. Include the doctor's name, date, time, clinic address and token number if you use one.
A reminder the evening before or a few hours before the appointment cuts no-shows. Offer a simple way to reschedule so the slot can go to someone else.
"You are next. Please reach the reception in 10 minutes." This one message makes waiting feel shorter and keeps your reception less crowded.
When the doctor asks a patient to return in a week or a month, a reminder near that date brings many of them back who would otherwise forget.
After the visit, thank the patient and invite them to share feedback or a Google review. Keep it short and send it once.
Ask for the patient's permission to message them on WhatsApp when you register them, and record it. India's Digital Personal Data Protection Act, 2023 expects organisations to collect personal data for a clear purpose, with consent, and to use it only for that purpose. Appointment and care messages are a clear purpose. Promotional messages are a different purpose and deserve separate consent.
Always honour a request to stop messages.
A phone screen is not always private. Reminders should say when and where, not why. "Your appointment with Dr. Sharma is at 11:30 AM" is enough. Avoid diagnoses, test results or medicine names in automated messages unless the patient has asked for them.
Patients trust messages from a number they recognise. Larger clinics often connect their own WhatsApp Business Platform account so every message shows the clinic's name and number. Smaller clinics can start with messages sent through their software provider's account and move to their own number later.
Track your no-show rate and follow-up return rate for a month before and after you start reminders. These two numbers tell you whether the messages are working.
